Grants Manager


The Grants Specialist is an essential member of the Exploratorium Grants Team, being responsible for the systems, processes and relationship management that are key to the effectiveness of the Teams fundraising efforts and to maintaining the museums standing with some of its most important institutional funders. Responsibilities include: 1) prospect research and management; 2) database and systems management; 3) government grant proposal and report submissions; 4) management of internal review processes and cultivation/stewardship activities of senior management; and 5) managing grants related data essential to institutional financial management. Specific activities include being the lead staff person in charge of government grant administration, reporting, and proposal submission; being the grants liaison with the financial and accounting department; researching and qualifying viable prospects for key program areas; directing grants prospect meetings; writing/editing renewal proposals and grant reports; and coordinating management team-level meetings about restricted grants. Systems administration duties include implementation and management of the Grants Review and Approval Process, management of Raisers Edge data and reports, and creating and maintaining team portfolios.

The position requires excellent writing, editing, and computer skills; ability to work with a wide range of staff, including senior leadership; ability to work independently; attention to detail; strong project management skills and ability to organize multiple projects. The museum, and this position, collaborates with other museums, consultants, universities, and nonprofit groups on collaborative grant proposals and reports.

The National Science Foundation is the museums largest institutional funder. Additional funders include IMLS, The Gordon & Betty Moore Foundation, NIH, the Overdeck Foundation, NEA, NASA, U.S. Dept. of Education, and San Francisco Grants for the Arts.


Organizes all reporting and notifications to government agencies on existing grants
Manages submission of new proposals to government agencies
Coordinates internal grants review and approval process
Serves as liaison with the Finance and Accounting departments
Serves as primary user and coordinator of institutional information on online government portals
Manages report deadlines, report filing dates, report approval dates, extension deadlines, passwords
Coordinates internal communication about grants policies, deadlines, and processes.
Clarifies government policy and procedures through research and communication with government agencies, and maintains records of policies and procedures for staff
Works closely with program staff to prepare proposals, reports, and updates. Writes/edits draft reports as needed
Maintains knowledge of a broad range of programs throughout the museum
Keeps detailed electronic files
Handles sensitive information confidentially.
Performs other duties as assigned.


BA/BS degree and 3-5 years of experience as a grants professional, preferably in a lead role in a complex, multifaceted, nonprofit educational environment, or an equivalent combination of training and experience
Demonstrated track record of handling a variety of constituencies, managing multiple tasks simultaneously, and thriving in a complex environment with multiple priorities
Strong written and verbal communication skills
Strong project management skills and attention to detail
Strong proposal budgeting skills
Experience with the online government systems Fastlane, SAM,, and NSPIRES preferred
Experience with Raisers Edge preferred
Good research and problem-solving skills
Ability to work in a fast-paced environment with frequent deadlines
Ability to work at a computer for extended period of time
Ability to move from place to place, use general office equipment, lift and carry up to 35 pounds short distances.
