The Intellectual Property and Imaging Coordinator manages rights and creative asset needs across the institution. The Coordinator secures permissions for images and other content, and advises on issues surrounding copyright and intellectual property. This staff position is responsible for managing imaging of collections, responding to external rights and reproduction requests, and securing permissions for exhibitions,publications and marketing.

- Support the Museum's mission, values, vision, and core commitment to the visitor experience, community engagement, social impact and institutional relevancy for the future
- Contribute to and support the OMCA strategic plan, annual priorities, and institutional initiatives such as diversity advancement

- Using a digital studio; create images and scans of museum collections: process, name, and migrate/store images appropriately
- Adhere to collections digital imaging, metadata, and scanning standards and protocols, and propose updates as appropriate
- Coordinate collections digitization projects including rapid imaging and publication quality photography of collections objects
- Stay informed of current digital preservation standards and practices; promote these practices throughout the institution
- Support exhibition, publication, development, website, marketing, retail and related Museum image needs
- Experience with 2D and 3D imaging methods desired, as well as digital and analog photographic techniques and processes

Rights and Reproduction

- Manage incoming rights and reproduction requests and associated contracts, invoices, and fees
- Provide access to OMCA collection images and intellectual property, internally and externally


- Support institutional projects relating to intellectual property, including future work on a Digital Asset Management System, updated collections website, updating metadata and other standards, and the creation of a digital preservation plan for collections and collection assets
- Participate in the management and development of CollectionSpace


- Conduct collections object handling and location tracking according to accepted collections management standards, following OMCA procedures
- Other duties as assigned


- Communicate digital and copyright standards to staff, and create documentation of preferred procedures
- Understand copyright law as it applies to museums, including issues related to fair use, commercial licensing and distribution of copyright protected materials and non exclusive permissions
- Track rights and permissions data
- Stay fully informed of current copyright laws and developments

Obtain Rights

- Coordinate rights needs across multiple departments throughout the Museum
- Obtain image and rights clearances, negotiate fees, create reports and permission documentation, review and confirm credit lines, track institutional uses and maintain relationships with artists and community collaborators


- Respond to external research requests for information pertaining to OMCA collections
- Support registration in collections viewing and archive research visits
- Support NAGPRA related research requests and visits

Knowledge, Skills and Abilities

- Ability to effectively manage projects with a high degree of organization and productivity
- Ability to be flexible and work independently and in partnership with teams
- Ability to assess priorities and work well under pressure
- Excellent time management, problem solving and analytical skills
- Excellent written and verbal communication skills
- Knowledge of copyright laws and contractual agreements
- Knowledge of collections management and handling practices
- Knowledge of photography, artificial lighting and digital file management

Additional Familiarity Desired

- Digital Asset Management Systems experience
- Ability to apply best practices for preservation of digital collections information and media
- Familiarity with Adobe Photoshop, Adobe Bridge, DNG Converter, DNG Profile Editor, FileMaker, and CollectionSpace or other open-source Collections Management System, Canon, Pentax and Eos Utility software
- Contract negotiation experience



- Ability to display and encourage visitor and internal customer service, take and share responsibility and treat others with respect
- 3-5 years related experience preferred
- B.A. degree in related field required
- English language proficiency in both spoken and written form
